Import and export data

Import supported table files with column mapping or download the available data export as a ZIP archive.

Before you start
  • You are signed in and have opened the intended workspace.
  • For an import, you have a readable CSV or TSV file containing the required columns.

Open in Klausi (sign-in required)

Choose the destination and file

  1. Open More → Settings → Import / Export Data.
  2. Under “What do you want to import?”, choose a destination such as “Time Entries” or “Tasks”. CRM destinations are available only when they appear in your selection.
  3. Select a file in the upload area or drag it in. The importer reads CSV, TSV and appropriately structured TXT files.
  4. After the file has been read, check the detected columns before confirming the import.

An Excel workbook (.xlsx) or a ZIP export is not a CSV file. Save suitable table data as CSV or TSV first. Renaming the file extension is not enough.

Review mappings and confirm the import

  1. Map the detected source columns to the relevant Klausi fields. Check required fields and columns marked as skipped.
  2. For time entries, check dates, durations and possible overlaps. Do not change the overlap rule without reviewing the affected times.
  3. Choose the button showing the number of entries to import.
  4. If client or project matching appears, deliberately choose existing records or creation of new ones, then select “Confirm & import”. If no matching step is needed, the import can start directly.

A suggested new record can create additional clients or projects. Review the mapping before the final confirmation.

Check the result

  1. Wait for the results and review successful, failed and skipped entries.
  2. Open the destination area and check a sample of records, especially dates, titles and project assignments.
  3. If errors occurred, correct only the affected source data. Before importing again, check which entries already exist so that you do not create duplicates.

Download a data export

  1. In the same settings area, open the data export section.
  2. Select “Start export” and wait while the export is prepared. Do not start additional exports at the same time.
  3. Save the ZIP file provided. Depending on your browser or app, you will get a download or a save dialog.
  4. Extract the file in a protected location. Read README.txt and review export.json and the included schema, lookup and dataset files.

The export is a curated collection of the user data made available for export. It does not promise all system data, every original file or complete restoration. The CSV importer cannot restore this ZIP as an account backup. The ZIP may contain confidential content.

If importing or downloading fails

  • File rejected: check its format, content and the size and row limits displayed in the upload area.
  • Cannot confirm the import: complete required mappings and resolve displayed time overlaps.
  • Download missing: check your downloads or save dialog and any error in Klausi. Sign in again if your session expired.
  • The backup feature marked as coming soon is not an enabled recurring export.

Do not send a complete export file to support. Describe the format, affected step and error message without confidential records.
