Manage shared content

Find public links, review access options and end sharing you no longer need.

On this page
  1. Distinguish the share from its source
  2. Share a document or Notion page
  3. Check access before sharing the link
  4. End links you no longer need
  5. If a link does not work
Before you start
  • You are signed in to the right work area and may share the content.
  • Review the content, recipients and intended access conditions before sharing.

Distinguish the share from its source

Open Presence → Share & Protect. This area shows shared content and its links. Notes, project time and Creator Site are created in their own work areas. Documents may also originate in your file collection.

  1. Find the shared content or select its type.
  2. Open the entry and check its link and status.
  3. Go to the source to edit the content itself.

Changing a link does not edit its content. Always check what the recipient can actually see after a change.

Share a document or Notion page

  1. Start a new share and choose Document or Notion page.
  2. Select a supported file or enter the Notion address.
  3. Review the access options offered and confirm creation.
  4. Copy the generated link only after confirmation and test it while signed out.

Supported file types, size and account limits are shown in the form. For a locked option, read the access notice displayed.

Check access before sharing the link

Document shares can offer a password, email request and expiry date. Choose conditions that suit the content. An email request alone does not verify a visitor’s identity.

  1. Open the public link while signed out.
  2. Check that the intended access conditions are requested.
  3. Confirm that the correct file or page appears before distributing the link.

End links you no longer need

  1. Select the share and deactivate or revoke it.
  2. Check its status after confirmation.
  3. Test the previous link again while signed out.

Note links are revoked and cannot be reactivated in the hub. Share the note again at its source if needed. Creator Site is not part of bulk selection. For documents, bulk activation restores only the newest still-valid link; older rotated links remain disabled.

If a link does not work

Check activation, expiry, any required password and the original source. Activating an expired link does not make it valid again. For multiple shares of one file, check which link you actually distributed. Do not delete the content if you only want to end public access.
